HappyWired Ltd is the data controller in respect of personal data processed through the HappyWired Customer Support Portal.

As data controller, HappyWired Ltd determines the purposes for which and the means by which personal data is processed. If you have any questions about how your personal data is handled, please contact us using the details above.
2. Scope of This Statement
This privacy statement applies to:
- Registered users of the HappyWired Customer Support Portal – individuals who have been invited to register and use the portal to submit and manage support cases.
- Anonymous visitors to the portal – individuals who access the portal URL without signing in.
Anonymous visitors are not required to provide any personal data, and none is collected, stored, or tracked during an unauthenticated visit. No cookies or tracking technologies are used for anonymous visitors.
This statement does not cover personal data processed in any other context, such as HappyWired's internal employee data or data processed under separate contractual arrangements.
3. What Personal Data We Collect
We collect only the personal data necessary to provide and administer the Customer Support Portal. This data falls into three categories.
3.1 Account and Identity Data
When you register for and use the portal, the following personal data is collected and held against your account:

3.2 Support Case Data
When you submit a support case or add comments to an existing case, the following data is collected:
- The case title and description you provide.
- Any files you attach to a case or comment.
- The date and time of submission and any subsequent updates.
- The timeline of activity associated with the case, including comments from both you and HappyWired staff.
Support case data may contain personal data beyond the fields listed above if you choose to include it in your case description or attachments. You should avoid including sensitive personal data (such as financial details or health information) unless it is strictly necessary to describe your issue.
3.3 Authentication and Session Data
The portal is built on Microsoft Power Pages and uses Microsoft's identity platform (Microsoft Entra ID or Microsoft personal accounts) to authenticate users. As part of this process:
- A session cookie (
.AspNet.Cookies) is placed on your device when you sign in. This is a strictly necessary functional cookie that maintains your authenticated session. It is not used for tracking or analytics purposes and does not require your consent. - Microsoft's authentication systems process your identity credentials as part of the sign-in flow. This processing is governed by Microsoft's own privacy terms, which you accepted when creating your Microsoft account.
- System-level audit logs of portal activity (such as login events and record changes) are maintained automatically by the Microsoft Power Platform infrastructure. These logs are held within HappyWired's Microsoft environment for security, compliance, and operational purposes.
Beyond the session cookie described above, the portal does not use cookies, tracking pixels, analytics scripts, or any other tracking technologies.
4. How We Use Your Personal Data

5. Legal Basis for Processing
HappyWired Ltd processes personal data only where a lawful basis under Article 6 of the UK GDPR exists. The primary bases applicable to portal processing are:
Performance of a contract (Article 6(1)(b))
Processing your name, email address, and case data is necessary to deliver the support portal services that HappyWired provides to your organisation under its service agreement.
Legitimate interests (Article 6(1)(f))
Maintaining portal security, audit logs, and support case history during an active contract serves HappyWired's legitimate business interests and those of our customers, provided those interests are not overridden by your rights.
Legal obligation (Article 6(1)(c))
Where we are required to retain or disclose data to comply with a legal or regulatory requirement.
6. Data Sharing
HappyWired Ltd does not sell, rent, or trade personal data. Personal data collected through the portal is shared only in the following limited circumstances:

No personal data is transferred to any third party outside of Microsoft and HappyWired's own staff for any commercial or marketing purpose.
7. International Transfers
Microsoft may process and store data across multiple regions as part of its global cloud infrastructure. Where personal data is transferred outside the United Kingdom, Microsoft ensures that appropriate safeguards are in place, including the use of the UK International Data Transfer Agreement (IDTA) or equivalent adequacy mechanisms, in accordance with UK GDPR requirements.
HappyWired does not independently transfer personal data outside the United Kingdom.
8. How Long We Keep Your Data

9. Cookies
The HappyWired Customer Support Portal uses a single cookie:

Because the only cookie in use is strictly necessary for the portal to function, no cookie consent banner is required under the UK Privacy and Electronic Communications Regulations (PECR).
10. Your Rights Under UK GDPR
As a data subject under UK GDPR, you have the following rights in relation to your personal data:

11. How We Protect Your Data
HappyWired Ltd takes the security of personal data seriously. The following measures are in place:
- The portal is hosted on Microsoft Azure infrastructure, which provides enterprise-grade encryption of data in transit (TLS) and at rest.
- Access to personal data within the portal is restricted to authorised HappyWired staff through role-based access controls within the Microsoft Power Platform.
- Authentication is handled by Microsoft's identity platform, which supports multi-factor authentication and is subject to Microsoft's own security standards.
- HappyWired maintains system audit logs to detect and investigate any unauthorised access or data incidents.
In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, HappyWired will notify the ICO within 72 hours of becoming aware, and will notify affected individuals without undue delay where the risk is high, in accordance with Articles 33 and 34 of UK GDPR.
12. Microsoft as Data Processor
The portal operates on Microsoft Power Pages, part of Microsoft's Power Platform. In this capacity, Microsoft acts as a data processor on behalf of HappyWired Ltd. Microsoft processes personal data only on HappyWired's instructions and in accordance with the Data Processing Agreement in place between HappyWired and Microsoft.
Users registered on the portal are part of HappyWired's wider use of Microsoft Power Platform, which includes a Dynamics 365 Customer Service environment. Your contact record exists within this environment and the portal links to it on registration. The processing of your data within the broader Power Platform environment is governed by HappyWired's service agreement with Microsoft.

13. Changes to This Statement
HappyWired Ltd may update this privacy statement from time to time to reflect changes in our data practices, applicable law, or the portal's functionality. The version number and date at the top of this document will be updated accordingly.
Where changes are material, we will take reasonable steps to notify active portal users. Continued use of the portal following notification of a material change constitutes acceptance of the revised statement.
We encourage you to review this statement periodically.
